Tendi is made by Webary and Co. This policy covers two things: this website, mytendi.com, including our demo form, and the Tendi mobile application used by the staff of schools, daycares and school transport operators. Each has its own part below, followed by the sections that apply to both.

Part 1: This website

This part covers what we collect through mytendi.com and our demo form, how we use it, and the choices you have.

Information we collect

When you book a demo or reach out to us, we collect what you choose to share: typically your name, your program's name, your role, the number of locations and children you run, what you'd like help with, your email address and phone number, and any note you add.

Like most websites, our hosting provider may automatically log basic technical information, such as IP address, browser type, and the pages you visit, to keep the site secure and working.

How we use it

• To respond to you and schedule a walkthrough.
• To prepare a demo tailored to your program.
• To communicate with you about Tendi.
• To keep the site secure and to improve it.

We do not sell or rent your personal information. Ever.

How we share it

We share information only with trusted service providers who help us operate, for example email delivery (SendGrid) and website hosting (Cloudflare), and only as needed to do their work. We may also disclose information if required by law. That's it.

Cookies

This site keeps things simple. We don't use advertising or cross-site tracking cookies, only what's essential to serve the pages.

How long we keep it

We keep what you send us for as long as needed to respond to your request and to maintain our records, then no longer than necessary. You can ask us to delete your information at any time.

Your choices

You can ask us to access, correct, or delete the information you've shared, and you can opt out of our emails at any time. Just reach out using the details at the end of this page.

Children and this website

This website is meant for school and childcare operators and other adults. It is not directed to children, and we do not knowingly collect personal information from children through it.

Part 2: The Tendi app

This part covers the Tendi mobile application, used by the staff of schools, daycares and school transport operators to run bus attendance and classroom attendance. It is provided by Webary and Co.

Who uses it, and who this covers

Tendi is a tool for staff. Accounts are issued by the school. It is not available to the general public, members of the public cannot sign themselves up, and it is not directed at children. Children do not use the app; staff record information about them in it.

The school's role and our role

The school or transport operator decides what information is recorded in Tendi and why. In data protection terms the school is the controller of that information and Webary and Co acts as a processor, handling it on the school's instructions.

If you are a parent or guardian asking about a specific child's information, please contact the child's school directly. The school holds the record and decides what happens to it.

What the app collects

• Staff account information. The username used to sign in and an identifier for that account.
• Location of the device. While a bus run is in progress, the app reports the tablet's location to the school's Tendi system about every 30 seconds, so the school can see the progress of the run. Location is not collected when no run is in progress.
• Child records entered by staff. First and last name, class, age, an optional photograph, an optional attendance card identifier, and attendance events such as boarding, drop off and check in.
• Allergy and dietary information about children. Where the school records it, so staff are warned of an allergy and so the correct meal or substitution is given to the right child. This is health related information and is treated as sensitive.
• Photographs. Taken with the device camera or chosen from the device, and attached to a child's record so staff can confirm they have the right child.
• Audio recordings. Where a member of staff records a short spoken note in the app.
• Bus camera images. On buses fitted with a USB camera, still images may be captured for the school to view.
• Device information. A device identifier and basic device details, used to pair the tablet with the correct school and to keep the app working properly.

Children's information

Tendi exists to keep track of children safely, so children's information is central to it. That information is entered by school staff, belongs to the school, and is used only to deliver the service to that school.

We do not use children's information for advertising, profiling, marketing or any purpose of our own. We do not sell it. We do not send it to advertising networks or analytics companies.

What we do not do

• We do not show advertising, and the app contains no advertising software.
• We do not sell personal information.
• We do not use the information to build profiles for marketing.
• We do not send information to third party analytics or session recording services.

Where the information goes

Information entered in the app is sent to the Tendi service operated for your school. It is not shared with anyone else, except where the school instructs us to share it or where we are required to by law.

How we protect it

All communication between the app and the Tendi service uses encrypted HTTPS connections. Access to a school's information is limited to the staff accounts that school has authorised, and to the Webary staff who need it to support the service.

No method of transmission or storage is ever completely secure, so we do not claim otherwise. What we can say is that the information is encrypted in transit, that access to it is restricted, and that we treat it as confidential.

How long it is kept

Records are kept for as long as the school needs them to meet its own attendance and safeguarding obligations. When the school's agreement with us ends, its data is deleted or returned to the school.

Access, correction and deletion

Schools manage their own data through the Tendi web portal, which includes the ability to delete it. A school administrator can review, correct and remove records there.

Staff who want their own account information corrected or removed, and parents or guardians asking about a child, should speak to the school, as the school controls those records. Schools can also contact us at the address below to request export or deletion of their data.

Permissions the app asks for

• Location. To report the position of a bus while a run is in progress.
• Camera. To take a child's photograph, and to use an attached USB bus camera where one is fitted.
• Microphone. To record a short spoken note.
• Photos and media. To choose an existing photograph for a child's record.

Data security

We use reasonable safeguards to protect the information you share with us, whether through this website or the app. No method of transmission or storage is ever completely secure, but we treat your details with care and limit who can see them. All communication between the app and the Tendi service uses encrypted HTTPS connections.

Changes to this policy

If we change this policy we will update the date at the top of this page. Schools will be told about material changes.
